1. Who we are
This privacy policy explains how The Monk Media (“The Monk Media”, “we”, “us”) collects and uses personal data when you visit themonkmedia.in, fill in a form, use our free SEO audit tool or contact us.
We are a digital marketing agency based at Vijay Nagar, Sonipat, Haryana 131001, Sonipat. For the purposes of India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”), we are the Data Fiduciary for the personal data described in this policy. You can contact us about privacy at hello@themonkmedia.in or +91 870-883-9028.
2. What we collect
When you fill in a contact or enquiry form we collect your name, phone or WhatsApp number, email address, website address, the service you are interested in, your city, state and country, your message and the page you sent the form from.
When you use the free SEO audit tool we collect the website address and keyword you enter, your name, phone number and email address, the audit results, and your IP address. We use the IP address only to limit how many audits can be run in an hour, so the tool is not misused.
When you browse the website our server records standard technical information, such as your IP address, browser type and the pages you request, in its access logs. The website also sets one essential cookie (a session cookie) that keeps forms and security checks working. It does not track you across other websites.
Our own visitor statistics count page views, the website that sent you, the campaign tag in the link (if any) and whether you use a phone or computer. They use no cookies and do not store your IP address: each visit is given an anonymous code that changes every day, so we cannot follow you over time.
When you call, message or email us we keep a record of the conversation so we can reply and follow up.
We do not ask for sensitive information such as financial account details, health information or government ID numbers through this website, and we ask you not to send it.
3. Why we use your data
We use your personal data only for the purposes you would expect when you contact a marketing agency:
- to reply to your enquiry, call or message you back, and send the proposal or information you asked for;
- to run the free SEO audit and send you the link to your report;
- to provide our services if you become a client, including invoicing and account management;
- to keep the website secure and prevent spam and misuse;
- to understand which pages and services people are interested in, so we can improve the website;
- to meet our legal, tax and accounting obligations.
By submitting a form or running an audit, you consent to us using the details you provide for these purposes. You can withdraw your consent at any time by writing to hello@themonkmedia.in. Withdrawing consent does not affect anything we did before you withdrew it.
We do not sell your personal data, and we do not add you to marketing lists that you did not ask to join.
4. Cookies and third-party services
The website loads its fonts from Google Fonts, which means your browser connects to Google’s servers and Google can see your IP address. Links to WhatsApp, Google Maps, social media and other websites take you to services with their own privacy policies.
We may use analytics or advertising tools such as Google Analytics, Google Ads conversion tracking or the Meta Pixel to measure visits and the results of our own ads. These tools may set cookies and collect information about how you use the website. They load only if you click “Accept” on our cookie banner. If you click “Reject”, they stay off. You can change your choice at any time using the “Cookie settings” link at the bottom of every page, block or delete cookies in your browser, or use Google’s Analytics opt-out add-on.
5. Who we share data with
We share personal data only when it is needed for the purposes above:
- Service providers who host our website and email, or provide tools we use to run the business (for example hosting, email and analytics providers). They may process data only on our instructions.
- Agency partners, only if you contacted us through one of them as part of a white label arrangement, and only to deliver the work you asked for.
- Authorities, when the law requires it, or to protect our rights, our clients or the public.
Some of our service providers may store data on servers outside India. Where that happens, we use providers that apply appropriate security, and we follow any restrictions the Government of India sets on transfers to particular countries.
6. Audit reports
Each SEO audit report has its own private link containing a long random code. Anyone who has that link can open the report, so share it only with people you trust. The report contains information about the website you checked, which is publicly available anyway, and the keyword you entered. It does not show your name, phone number or email address.
The audit tool only reads pages that are publicly available on the internet. Please only check websites that you own or manage, or that you have permission to review.
7. How long we keep data
- Enquiries and audit records from people who do not become clients are kept for up to 24 months after our last contact, then deleted.
- Client records are kept for as long as we work together, and afterwards for as long as tax, accounting and other laws require (for financial records this is generally up to 8 years).
- Server logs are kept for a short period set by our hosting provider, usually a few weeks, for security purposes.
You can ask us to delete your data sooner, as explained below.
8. How we protect your data
The website uses HTTPS encryption. Form submissions and audit records are stored in a database that only authorised team members can access through a password-protected dashboard. Passwords are stored in hashed form, and access is limited to people who need it for their work.
No website can be completely secure. If a personal data breach happens that affects you, we will inform you and the Data Protection Board of India as the law requires.
9. Your rights
Under the DPDP Act and other Indian laws, you have the right to:
- ask for a summary of the personal data we hold about you and how we use it;
- ask us to correct, complete or update your data;
- ask us to erase your data, unless we need to keep it to meet a legal obligation;
- withdraw your consent at any time;
- nominate another person to exercise your rights if you die or become unable to do so;
- raise a complaint with us, and if you are not satisfied with our answer, with the Data Protection Board of India.
To use any of these rights, write to hello@themonkmedia.in from the email address or phone number you used with us, so we can confirm it is you. We will reply as quickly as possible, and within the time required by law.
10. Children
This website and our services are meant for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, please contact us and we will delete them.
